A very high quality practice that provides wealth and financial planning to private clients are looking to appoint a Business Support Co-ordinator. They carry an image and reputation around professionalism and trust with the clients which is paramount to the success of the business.
The role is primarily to support the Managing Director and Operations Manager with all aspects of business and operational administration and coordination.
You will be responsible for managing and maintaining an accurate diary and MI reporting system to ensure that correct and timely information is produced. This will involve various departments within the business so the ability to understand how the various departments come together is vital.
You will be able to confidently prepare for, minute and co-ordinate actions arising from meetings and be highly efficient in your time management.
The role requires strong organisational skills as you will be prioritising your own workload and often that of the Managing Director and Operations Manager and you must ensure that service delivery is met at all times.
It is essential to build strong working relationships with the people that you come into contact with professionally and be an excellent communicator, enabling you to disseminate complicated information in an appropriate manner to a variety of audiences.
You are required to understand the bigger picture in all that you do, and must be proactive in the way that you work.
Management of diary system for Operational and management support tasks.
Acting as a single point of contact for the Managing Director and Operations Manager including screening telephone calls and emails where appropriate.
Planning and prioritising work-loads.
Ability work under pressure whilst retaining quality and quantity of outputs.
KPI and Performance Management support.
Managing sensitive information particularly discreetly (you will often be aware of information that is highly confidential and it must remain so).
Accurately updating a variety of systems to leave a clear audit trail.
Preparing papers and presentations and reports using PowerPoint excel and word
Arranging and attending meetings, including compiling agendas, taking and distributing minutes and coordinating action planning activities to ensure deadlines are met.
Researching and reporting on outcomes.
Assisting the Operations Manager with process implementation, development and management of processes and procedures.
Participating in the coordination of ad-hoc project work on behalf of the Managing Director, Operations Manager or other members of the Senior Management Team.
Diary Management including travel plans for the Senior Management Team.
Welcoming and facilitating visitors to the office.
Assisting the Operations Manager with HR aspects including recruitment, capability and disciplinary matters and performance management.
