The Opportunity
An established and highly respected wealth management firm is looking to recruit a Senior Wealth Planning Assistant to provide high-quality administrative and client support to Wealth Planners. This is a key role within the business, focused on delivering excellent client outcomes through efficiency, accuracy, and outstanding service.
You will act as a central point of contact between clients, Wealth Planners, internal teams, and third-party providers. Alongside your core responsibilities, you will play a vital role in supporting, mentoring, and sharing best practice with more junior members of the team.
Key Responsibilities
Administrative Support
- Provide high-quality administrative support to Wealth Planners in line with internal processes and compliance framework
- Ensure all documentation meets company standards with excellent accuracy and attention to detail
- Support submission of cases to the paraplanning team
- Handle finance-related queries including invoices, billing, WIP, and commissions
- Produce accurate Service Agreements where required
- Demonstrate flexibility when supporting different internal stakeholders
Client Support
- Coordinate central services such as paraplanning, valuations, and business processing
- Prepare and submit CDD and new account documentation in line with AML procedures
- Arrange client meetings, prepare meeting packs, manage diaries, and oversee valuations
- Complete post-meeting actions and maintain accurate meeting records
- Act as a first point of contact for clients, handling general queries and escalating complex matters
- Meet and greet clients, manage correspondence, and prepare letters of authority
- Prepare client application forms in line with suitability recommendations and ensure timely processing
- Maintain accurate client records on XPlan and all associated systems
Additional Responsibilities
- Assist with the training and quality-checking of junior team members
- Share knowledge, best practice, and expertise to strengthen team performance
- Support the wider team during busy periods
- Proactively contribute to efficiency and process improvement initiatives
- Undertake relevant technical and professional training and maintain CPD
Candidate Requirements
Essential:
- Strong understanding of the end-to-end Wealth Planning process
- Knowledge of financial planning products
- Excellent customer service and communication skills
- Strong numerical ability with exceptional attention to detail
- Highly organised with excellent planning and prioritisation skills
- Confident working collaboratively in a team environment
- Strong awareness of regulatory and compliance standards
Desirable:
- Experience using XPlan
- Experience using Voyant
- Proficiency in Microsoft Word and Excel
